9 Tips to Maximizing Efficiency with Google Calendar

This article is a hybrid, ported from my Google+ page with a few extras thrown in to make it exclusive enough for me to post it here. I’m not big on duplicating content, but do believe it should be maximized when possible. Now, with that said let’s get down to Google Calendar and tips that might help you in maximizing how efficient you are , either in your business life or personal life. I know I find Google Calendar useful in all aspects of my life.

If you’re not using Google Calendar to maximize your efficiency and reduce your stress level, you’re blowing it.

Edit Default Settings

Before you even get started with Google Calendar make sure you setup/edit your default settings, doing so will make using your calendar more enjoyable right off the bat.

Schedule In Advance

Making calendar changes takes minimal effort. Don’t be afraid to schedule and schedule far in advance, making changes or adjusting your calendar is much better then forgetting.

Schedule Goals

Don’t restrict your calendar use to scheduling actual current events and things that are locked down. Instead, schedule goals and even basic daily work tasks.

Schedule Now

Scheduling is only as good as the scheduler. If you suck at entering data into your Google Calendar, the results from your Google Calendar will suck. Don’t hesitate to schedule something

Schedule On the Go

There’s a plenty of Google Calendar apps listed in any of the mobile app markets, get one and use it to schedule when you’re on the go. Instead of writing emails when you have down time you can spend that time scheduling goals.

Get the Power Tools

Simply visiting http://calendar.google.com every time you want to schedule isn’t going to make you any kind of Google Calendar power user. Take a moment (right now would be great) and grab the power tools that are out there to assist you in maximizing your Google Calendar potential. Share Your Schedule

Don’t be afraid to share specific things on your schedule with others on your team. This is a great way to reduce unwanted interruptions. In addition to reducing interruptions sharing your calendar is a great way to keep others in the loop and aid in communication with your team.

Schedule Personal Events

Having a balanced personal life is a tremendous part of being successful, forgetting important family functions can rattle that balance pretty good ;) Schedule personal events and goals in the same way you schedule business and work related stuff.

Think of the surprise on your daughter’s face when you remind her that her favorite Disney star is going to be on Ellen that day or how happy your son is when you tell him about the upcoming Video Game Awards show. The list of smiling faces goes on and on.

Setup Multiple Calendars

If you’re busy your Google Calendar can get pretty packed, luckily Google allows you to create multiple calendars. By taking advantage of multiple calendars you make it easier to see which calendar events are for personal events or business related, or one of the calendars for one of your associates or team members. This function does more then add pretty colors to your calendar, it helps you stay focused on what events matter most to you at that moment.

*** Bonus Tip *** Edit Event Settings

Take a moment to “edit event” when you’re setting up your event, this will allow you to set reminders for specific events. Another nice feature about Google Calendar is the ability to have recurring calendar events, this makes remembering those redundant daily/weekly/monthly/yearly tasks a thing of the past. Let Google Calendar remember it for you.

Cool! It seems so interesting having a Google+ account. :) You can manage your calendar activities to keep you remindful of things which has to be done. It is perfect for an oblivious woman like me. I forced my boss to dump the “iCal” down the drain and set up with google calendar at work… it was the only simple and efficient way to let his dump iphone know about all goals, events and everything… the “syncing” before was a crap… since we switched to GC, life and work are much more easier.. ^^ and: a half second on my droid, a little minute later it makes “plopp” on his iphone and at all imacs at work. who the f*ck needs iCal? ;)

btw: the sms remembering feature is great, not only due to its free of charge.

I typically used Google Calendar for business reasons but lately I started adding goals or tasks that I want to do in my personal life to it and it’s pretty amazing how it has changed my life. I also love how it syncs up to my phone and I can just refer to it as I go about my day. I hadn’t thought of setting up multiple calendars, and I think I just might have to do it! Hi John,

I haven’t used Google Calender, you must be thinking that how stupid I am right? ;) But I’ve one query hope you can answer, I’ve heard that you get sms alerts about your schedule events. Here is my question to get those sms alerts do you have to logged in or even if you’re log out still you’ll get those alerts?

No, I don’t think it’s stupid that you haven’t used Google Calendar yet. As for being logged in to get alerts, nope you don’t have to especially if you have one of the handy Google Calendar apps I mentioned.

I had actually never tried Google Calender before. I’ve been using Mozilla Sunbird for the past few years. From your screenshots, Google Calender looks similar to it. I’m going to give it a shot. The multiple calenders feature looks the most interesting for me as that was not possible with Sunbird.

It’s funny that you mention the multiple calendars, I considered not adding the information about multiple calendars when I first wrote this article, it wasn’t part of the article I wrote on Google+ either. I’m happy I included it, all though not a feature that everyone needs, it’s a great feature.

I never have tried google calendar, I use to have a planner but it certainly did not satisfy me. I would certainly want to try this to get up to my meetings as well as other schedules.

I need so much help with productivity. I like these tips and I am using Google calendar often but the thing is that I want something offline and Google stopped developing that offline version of their tools. Actually, I am less searching for an offline tool and more something that isn’t web based. I love Google cause everything you can want is there, but have to figure out how to integrated this calendar, to do list, mail and everything in some non web based tool.

So I am kinda screaming for help here, John, lol
